Terms and Conditions

1. The retreat

The retreat runs for seven nights, from check-in on Monday 20 September 2027 to check-out on Monday 27 September 2027, at a private country estate in Tuscany, Italy. The exact address is shared only with confirmed guests.

Your price includes:

• Your accommodation for seven nights, in the apartment and room option you booked
• Breakfast, lunch and dinner every day, prepared by our private chef
• One cooking class
• The local tourist tax for your stay
• Use of the pool, with umbrellas and deck chairs (open daily from 9 am to 7 pm)
• Use of the tennis court during the day, plus table tennis, a five-a-side football pitch and bocce
• The shared barbecue area
• The estate's private park, and walks and hikes on the paths that start right from the estate
• In your apartment: Wi-Fi, a kitchen with a dishwasher, bath towels, a hair dryer, a safe, satellite TV and a ceiling fan
• Weekly cleaning of your apartment
• The shared laundry room, with detergent included
• Private covered parking at the estate
• One mini portrait session with BACINI, and your favorite portrait from that session as a complimentary high-resolution digital image

Your price does not include:

• Airfare, and travel to and from the estate, including airport transfers and rental cars
• Add-on experiences such as hot air balloon rides, horseback riding, truffle hunting and wine tastings
• The Full Experience portrait session, videography, additional portraits and printed products
• Travel insurance
• Services the estate offers on request, such as daily cleaning, extra towels, bicycle rental and evening use of the tennis court
• Personal expenses and anything not listed above as included

2. Reserving and paying

All prices are in US dollars and are for the full seven nights. Apartments and beds are reserved in the order payments are received. A booking is confirmed once your payment has gone through and we have sent you a written confirmation.

When you select an apartment or bed, we hold it for you for 15 minutes while you check out. In the rare case that two guests pay for the same apartment or bed at nearly the same moment, the payment received first keeps it. The other guest may choose a full refund of that payment, including any payment plan fee, or move their payment to another available apartment or bed. This refund is an exception to Section 3.

You can pay in one of three ways:

• Pay in full when you reserve, by debit or credit card. There is no fee.
• Pay in full when you reserve using your Affirm Card, and repay Affirm over time (see Section 5). BACINI charges no fee for this.
• Use our payment plan: pay 50% of your booking plus a $250 payment plan fee when you reserve, and the remaining 50% by Wednesday 1 September 2027. The $250 payment plan fee is non-refundable.

Bookings made on or after 1 September 2027 must be paid in full when you reserve, and the payment plan is not available.

If your balance has not been paid by 1 September 2027, we will send you a reminder. If it is still unpaid on Wednesday 8 September 2027, your booking will be cancelled, the payments you have already made, including the payment plan fee, will be kept under Section 3, and your apartment or bed will be released to other guests.

Add-on experiences, the Full Experience portrait session, videography and private airport transfers are priced separately. We will confirm your selections and their prices with you after you book, and each one is paid in full when you reserve it.

3. Payments are non-refundable

Because we reserve the entire estate, the private chef and our vendors well in advance on your behalf, all payments for the retreat are non-refundable once made. This includes your 50% payment, your balance, and any add-on experiences once we have booked them for you.

No refund or credit is given for any part of the retreat you do not use, including late arrival, early departure, missed meals, missed activities or a missed portrait session.

4. Transferring your place

If you can no longer come, you may ask to transfer your place to another adult. Transfers are approved at BACINI's sole discretion. To request one, email info@baciniphotography.com with the new guest's full name and contact details. A transfer is only complete when all of the following are true:

• We have approved it in writing
• The new guest is at least 18 years old on 20 September 2027
• The new guest has agreed to these terms

Any add-on experiences already booked may transfer with your place only if the provider allows it. Payments stay with the booking and are not refunded to the original guest by BACINI. Any money between you and the new guest is a private arrangement between you.

5. Paying with the Affirm Card

You are welcome to pay for your booking with your Affirm Card and repay Affirm over time. BACINI does not charge a payment plan fee when you pay this way, because we receive your payment in full. Any plan you choose is an agreement between you and Affirm and its lending partners, and BACINI is not a party to it. Rates, eligibility, down payments and plan options are set by Affirm and depend on your credit and purchase amount. Your plan with Affirm does not change the non-refundable terms in these terms. 6. Apartments, rooms and sharing

Photos, floor plans and room sizes are shown in good faith to help you choose. Furnishings and details may vary slightly.

If you book a whole apartment for a group of friends, the person who makes the booking is responsible for the full price of the apartment and for everyone in it. The apartment is private to your group for the week.

If you book a private room or a bed in a shared apartment, you will share the kitchen, living areas and, depending on the apartment, a bathroom with other retreat guests. If you book a bed in a shared room, you will share that bedroom with one other guest of our choosing. We do our best to pair guests thoughtfully, but we cannot guarantee who you will share with.

In the rare case that an apartment becomes unavailable, we may move you to another apartment of the same or a higher standard. This is not a reason for a refund.

7. If we have to change or cancel the retreat

We may adjust the schedule, meals, activities or portrait session times because of weather, safety, the estate, or our suppliers. We will always aim to replace anything we change with something of similar value.

If BACINI has to cancel the retreat, for example because the estate cancels, not enough guests book, or events beyond our control make it unsafe or impossible to go ahead, you may choose one of the following:

• A refund of the money we are able to recover from the estate and our vendors for your booking, or
• A transfer of the full amount you have paid to a future BACINI Destinations trip

BACINI is not responsible for airfare, hotels, insurance or any other costs you arrange yourself. This is one of the reasons we strongly recommend travel insurance.

8. Travel insurance

We strongly recommend that every guest buy comprehensive travel insurance. Look for a policy that covers trip cancellation and interruption, medical care and evacuation abroad, and lost or delayed luggage. Because retreat payments are non-refundable, your retreat payments should be listed as prepaid, non-refundable trip costs on your policy.

Timing matters. Many insurers only offer their fullest benefits, such as "cancel for any reason" coverage and waivers for pre-existing medical conditions, if you buy the policy within about 14 to 21 days of your first trip payment. We recommend buying your policy soon after you reserve, then adding your airfare and any add-ons to it as you book them. Policies differ, so read yours carefully. Insurance is your responsibility, and without it any payments you cannot use are lost.

9. Your travel documents and health

You are responsible for your own passport, any visa or travel authorization Italy requires for your nationality, and for arriving at the estate on time. US citizens should check the current entry rules for Italy and the Schengen Area, including passport validity and any required pre-travel authorization, well before they travel.

Please tell us about any dietary needs, allergies or accessibility needs when you book. We will share them with the chef and our vendors and do our best to accommodate them, but we cannot guarantee a kitchen free of any particular ingredient.

You confirm that you are fit to travel and to take part in any activities you choose. Please follow the instructions of guides and providers at all times.

10. Guests and conduct

All guests must be at least 18 years old on 20 September 2027. The legal drinking age in Italy is 18. Wine may be served with meals and at tastings, and we ask every guest to drink responsibly.

The retreat is a shared, relaxed space for everyone. Please be considerate of other guests, follow the estate's house rules, and respect quiet hours. You are responsible for any damage you cause to the estate, its furnishings or its grounds, and for any charges the estate makes because of it.

BACINI may ask any guest whose behavior is unsafe, abusive or seriously disruptive to leave the retreat. In that case no refund is given, and the guest is responsible for their own travel home.

Out of respect for everyone's privacy, please do not share the estate's address publicly, and do not post photos or videos of other guests without their permission.

11. Add-on experiences

Add-on experiences are provided by independent local companies. We arrange them for you, but they are run under each provider's own terms, safety rules and weather policies. Prices for add-ons are separate from your retreat price and must be paid before we book them. If a provider cancels, we will pass on any refund or credit they give us, or help you rebook. BACINI is not responsible for the acts, omissions or services of independent providers.

12. Portraits and photography

Your mini session is scheduled around the retreat's activities. Its time and location may shift with the weather and the light. If you miss your scheduled session, we will try to offer another time, but we cannot guarantee one.

Your complimentary image is your favorite portrait from your mini session, delivered as a high-resolution digital file for your personal use. Additional images, prints, the Full Experience and videography are available separately and are covered by their own agreement.

BACINI owns the copyright in all images and video we create. We will never use your portraits in our marketing, on our website or on social media without your written permission. With your consent, we may also take casual photos of the group during the week. You can say no to these at any time.

13. Our responsibility

Travel carries some risks that are outside our control. By joining the retreat, you accept the ordinary risks of international travel and of the activities you choose. To the fullest extent the law allows, BACINI is not liable for injury, illness, loss, damage, delay or extra expense unless it was caused by our own negligence. Our total liability to you for any claim is limited to the amount you paid BACINI for the retreat. We are not responsible for personal belongings, which you bring at your own risk.

14. Events beyond our control

BACINI is not responsible for any failure or delay caused by events beyond our reasonable control. These include severe weather, natural disasters, fire, flood, pandemic or other health emergencies, government action or travel restrictions, war, unrest, strikes, airline disruption, and failures of utilities or the estate. If such an event forces us to cancel the retreat, Section 7 applies.

15. General

These terms, together with your booking confirmation, are the whole agreement between you and BACINI for the retreat. If any part of these terms is found to be unenforceable, the rest still applies. These terms are governed by the laws of the Commonwealth of Virginia, and any dispute will be heard in the courts of Fairfax County, Virginia. We may update these terms before you book. The version in effect when you make your first payment is the one that applies to you.
